How Do Employers Verify a White Card?

Employers verify a White Card by recording the card number and holder's name at site induction and checking it against the register kept by the regulator that issued it — SafeWork NSW, WorkSafe Queensland or Access Canberra. Until the plastic card arrives, a Statement of Attainment plus photo ID is accepted on most sites.

What happens at site induction

Verification is a routine part of every site induction. The supervisor or WHS coordinator will sight your card, record the card number, your full name and the issuing state, and keep that record on the site register. Where there is any doubt — an unfamiliar card design, a damaged card, or a name that does not match your ID — they will check the number against the issuing regulator’s records before letting you through the gate.

Larger builders increasingly use digital induction systems that ask you to upload a photo of the card and your Statement of Attainment before you arrive, which is why keeping both on your phone saves a lot of standing around.

Working while the plastic card is in the post

Cards are printed and posted by the regulator and can take a few weeks to arrive. In the meantime the accepted evidence is your Statement of Attainment for CPCWHS1001 plus photo identification. That combination shows the training was completed and that you are the person named on it, which is what verification is really testing.

Keep a PDF of the Statement of Attainment, not just a screenshot — some induction portals reject images. If yours has gone missing, we can reissue it and the regulator can replace the card.

Two things that stall verification

  • Name mismatches. If the card says “Christopher” and the licence says “Chris”, expect questions. This usually traces back to how the USI was created.
  • Unsupervised online courses. Cards obtained without a trainer verifying identity are the ones most often queried or cancelled. See online vs in-person White Card courses.

Cards issued interstate verify the same way — the qualification is national.

Frequently asked questions

How does a builder check if a White Card is real?

They record the card number and holder name at induction and check it against the register maintained by the issuing regulator — SafeWork NSW, WorkSafe Queensland or Access Canberra.

Can I start work without the physical card?

On most sites yes, if you present your Statement of Attainment together with photo ID. Confirm with the site supervisor before your first shift.

Is a photo of my card enough?

Many supervisors accept a clear photo of both sides, but some insist on the original. Carry the card if you have it.

Can an employer verify a card from another state?

Yes — they check with the regulator that issued it. A card issued interstate is still valid and verifiable.

What happens if a card can’t be verified?

You will usually be refused site entry until the record is confirmed. Contact your RTO for a copy of your Statement of Attainment straight away.

Can an employer request my training record from you?

With your consent, yes. Employers can contact us on 1300 335 011 to confirm that a student completed CPCWHS1001 with us.
